Minutes of Steering Committee Meeting

Eversden Village Hall

15th May 2008 

Present:  John White (JW), Linda Nicholls (LN), Guy Nicholls (GN), Terence Wheeler (TW), David Farnell (DF), Alison Pritchard (AP), Christine Piper (CP), Bella Connolly (BC)

Minutes of Last Meeting: These were approved           

Finance: £75 has been spent on software acquisition.  £100 has been taken from the monies held by the Parish Council on behalf of the Parish Plan to cover this leaving £25 held by JW for any incidental expenses incurred.  To date £15 has been spent on Hire of the Village Hall and £2.70 on postage for 10 stakeholder letters.  This leaves £7.30 held by JW.  

Questionnaire: Further discussion took place on Q142 to Q324.  This is a necessary but slow process.  Members are asked to study these questions and give feedback to LN asap.  It was suggested that the Kennet questionnaire be used as our prime example but our individual input to the sample questions, possible groupings, additions and deletions is still essential.  DF has listed questions that Tailcorn and the Village Website would like to have included.  BC is keen to have the subjects of cycleways included and sustainability issues. 

               Open Day:  Progress was discussed.  DF has agreed with Derek Blatch that his tent and marquee as used for the Oxfam Walk held recently at the Recreation Ground can be made available. DF and JW had tested that JW laptop and DVD linked to a borrowed projector works.  The Village Hall screen will be used to show “A Year in the Eversdens”.  A further laptop is needed to show The Eversdens Website and BC thought that she might be able to supply hers.  Diarmuid Coyle has offered to man a table where Eversden On-line can be demonstrated and discussed.   

DF has produced some 20 photographs of Eversden scenes for a competition to identify these views.  He suggested that each competition entry should cost 50p and that half the takings should be contributed to the Church Fete as a thank you for allowing us to have facilities on that day.  A winner prize of £50 was suggested and that should be sufficient to attract suitable numbers to the Parish Plan displays.  If half the takings did no cover the £50 prize, JW said that monies can be used from the Parish Plan grants to make up any shortfall.  The photographs can be mounted on a three-panel display board (from the Village Hall).  BC agreed to produce colour prints of suitable keyword “cards” to be distributed around the marquee.   

JW will organise supply of a flipchart, pens and pads onto which visitors can write ideas, suggestions comments.  A suitable suggestions box is also needed.  

               Publicity: The back page of Tailcorn carries publicity about the Parish Plan at the Church Fete 

JW reported that feedback from website and stakeholders had not been good but this could change after the Open Day.        

Date of next meeting: to be arranged by JW/DF who need to get together to finalise computer related tasks for the Open Day
